How can I view and work with the downloaded csv file from the dashboard?

On your user dashboard, you can download a CSV file with the raw data. This can be helpful if you want to create your own tables or reports. 

This article explains how to open the file and how to create a pivot table, using the example of reviewing specific people in detail. 


Go to your dashboard and select the time period and the people you’d like to look at. Export the ratings for these people.

This export will give you a CSV file. CVS stands for comma-separated values (though the separator is not always a comma), which means that all related values are written down in one huge line. The separator is sometimes a comma, sometimes a dash, or a semicolon. And that’s why Excel doesn’t always show CSV files in a readable format. 

We recommend using Google sheets to open and process your CSV files. To access your file, open a new Google sheet. Click on `File >> Import`.

 

 

In the next screen, choose `upload` and select the csv file you just downloaded from Klaus. 
You’ll need to select some parameters, as follows: 

  • Import location: Insert new sheet(s)
  • Separator type: custom `;` (manually add the semicolon here)
  • Convert text to numbers, dates, and formulas: yes

Confirm your selection by clicking on “import data”. You’ll now get the raw data in the spreadsheet. 

Many of the columns might not be necessary for what you are looking at. For example, if you want to review specific people, you can delete or hide anything that is not specifically related to this task. Specifically, you would only keep 

  • rating_id
  • rating
  • category_name
  • reviewee_id OR reviewee_name

 

If you are not sure how to proceed, hide the columns you don’t need instead of deleting them. 

Once you’ve hidden everything you don’t want to look at, select all the data that’s left and then click on `Data >> Pivot table`

 

 

This will create an additional tab in your Google Sheet where you can now add and visualize the data at your convenience. 

The empty pivot table looks like this: 

 

 

If you click into the table area, a sidebar will open on the right. Here you can now construct your own table, by choosing filters. 

Choose the agent you want to look at under `filters >> reviewee_name`.

 

If you want to see how this agent is performing on the four different categories per date, you can add the categories as columns and the dates as rows: 

 

To make specific data more visible, for example a negative rating, choose `Format >> Conditional Formatting`

 

This creates a new sidebar with the option to create format rules. Here you can define for example that everything below a specific threshold is marked in a special color. For example, here everything with less than 0 will be marked red:
